Contingency Plan

Contingency Plan

As you already know I want the filming and editing process completed with little to no issues, this is why I have created a contingency plan. A contingency plan is a set of steps to actions that need to be taken if an emergency or problem occurs, this plan ensures that if problems do occur I will have a plan set to ensure that filming and editing doesn't get delayed.
By creating a contingency plan it will ensure that the production of the film is organised and planed out to the last second, ensuing filming and editing will be completed by my own personal deadlines. This ensures that the music video will be completed on time and to a high standard, leading to more viewers watching the video.
It also allows me to have peace of mind while filming and editing, as if the problem occurs I will always have a quick and easy solution. This means that I will not get stressed out if any problems occur and so the morale on set will remain high, calm and happy. This is needed to ensure that a good film is created as if there are issues between cast and crew members and the morale lowers it may make filming difficult and therefore creates a poor quality film.

Contingency plan for filming:

FILMING
WHAT PROBLEMS COULD OCCUR
SEVERITY
CONTINGENCY PLAN
FILMING IN PUBLIC AREAS
We may be asked to stop filing in areas that are open to the public.
MEDIUM
I have emailed those who own the areas to ask for filming permission, but certain areas like the beaches are not owned and are open to the public so we will need to find a different area to film in or shoot more scenery images.
CAST MEMBERS
Some cast members maybe ill or late and delay filming schedules.
HIGH
If cast members are ill we will shoot scenes that they are not needed in or we will contact the understudies and get them to fill in.
If cast members are late we will film shots that they are not in until they arrive.
CREW MEMBERS
Some crew members maybe ill or late and delay production schedules.
MEDIUM
We do have spare hands to fill in for those who are unable to get to the sets.
HEAT
Cast and crew members may become dehydrated or get sunburn.
HIGH
We need to ensure the health of our production team and so we need to bring water to each set and provide shaded areas. We will also take regular breaks as well as bring portable fans and other cooling equipment to sets.
TIMINGS
Filming certain scenes may take longer that others and therefore timings   may not be kept and delays filming for other scenes.
HIGH
We will have certain days reserved for those shots that we were unable to film due to the lack of timing in the day.
WEATHER
The weather may change suddenly and rain and no longer be sunny, ruining shots.
HIGH
We will ensure that the weather is continuously checked and on the days that are scheduled to rain we will film the indoor scenes.
WIFI
The WIFI may be weak and hard to connect, making it difficult to contact others and film shots.
MEDIUM
A hotspot router will be provided in case of the WIFI being poor.
FILMING EQUIPMENT
It may get damaged or stolen while filming shots.
MEDIUM
We will have backup cameras and filming equipment on hand in case of this.
HAIR AND MAKEUP
The heat may result in clothes to become ruined and makeup to look ruined.
LOW
Makeup and wardrobe artists will be on hand to top up makeup and ensure costume is of good quality.
TRAFFIC
There may be traffic to certain set locations and result in delays of filming.
MEDIUM
We will need to ensure that we use a SAT NAV to ensure that we take the fastest routes to the different sets.
We will also leave areas earlier to ensure e that time is created if this issue occurs.

Contingency plan for editing:
EDITING
WHAT PROBLEMS COULD OCCUR
SEVERITY
CONTINGENCY PLAN
QUALITY OF SHOT
The quality of some shots may be lower than others creating a poor quality video.
HIGH
I will have certain days reserved for reshooting certain shots or ones that were missed due to delays.
TIMINGS
Editing may be delayed as filming scenes may take longer than expected.
HIGH
I will have a deadline in which all of the filming needs to completes so that  will have enough time to edit the videos.
WIFI
The WIFI may be weak and difficult to connect to, making it difficult to upload and edit the video.
MEDIUM
A hotspot router will be provided in case of the WIFI being poor.
EDITING SOFTWARE
The editing software may be of poor quality or difficult to use, delaying time of editing.
MEDIUM
I will research and practice in my own time on different editing software’s to find out the best that suits me.
LACK OF FOOTAGE
I might not have filmed enough shots to make the video long enough to fit in the song.
HIGH
I will plan other days that I can go out and film other scenes to fill in the gaps of the video to make it long enough.

As you can see i have created two contingency plans, one for filing the other for editing. I did this as it makes it easier for me to use these lists, as if I had one long table it will be difficult to locate the issue and find out what I need to do. By having to speraete plans it make the solutions clearer to see and easier for me to find out the solution that I have planned.
I set the plans out in a table as it makes it clearer to see what I need to do, as one list or flow chart maybe complicated to read, by having a table it is clear to read all the information and therefore makes it quicker to figure out what I need to do.

To conclude, by creating a contingency plan it has lead me to be more organised and really think about the problems that could occur with, both, the editing and filming processes. I now feel ready to film and feel reassured that everything is planned out and little issue will occur, and if they do will be solved very quickly!
